Managing Preventative Maintenance

The Preventative Maintenance section lets you add preventative maintenance (PM) tasks such as oil change, tire inspection, clutch service, fill fluid or check brakes that are performed on the asset at a scheduled interval.

A preventative maintenance added to an asset is available on the Repairs tab when a work order is created for that asset after the due date of preventative maintenance. You can select the preventative maintenance as a repair and perform the repair. Once the repair is completed, the next due date of the preventative maintenance is automatically updated in the Preventative Maintenance section.

Note:

·       You can set up the preventative maintenance in a hierarchical scheduling manner, and define the letter till which the preventative maintenance is considered hierarchical. For example, a preventative maintenance type E (PME) in a hierarchy includes all the tasks in PMA, PMB, PMC, PMD, and PME and beginning from PMF, the PM tasks will not be inclusive of other PM type.

·       For hierarchical PM cycle, the cycle length must be divisible by the previous cycle length.

·       You must add the hierarchical preventative maintenance sequentially in the Preventative Maintenance section.

Tip

To view the Preventative Maintenance section, click the Preventative Maintenance link.

Adding a Preventative Maintenance

With required permission, you can add preventative maintenance to the asset.

Note: An asset can have multiple preventative maintenance types associated with it. A preventative maintenance type can have multiple cycles associated with it but no two cycle types can be same.

To add a preventative maintenance

1.    Search and view an asset record.

2.    Click the PM's,SA's tab.

3.    In the Preventative Maintenance section, click the Add New PM Type link.

The Add PM dialog box opens.

4.    In the PM Type list, select a preventative maintenance type for the asset.

5.    In the Cycle Type list, select the cycle type of the preventative maintenance.

Note: The cycle type can be Day, Week, Year, Month or Set Annual Day. If a meter type is added to the asset, you can add the meter type as the cycle type for the preventative maintenance. If the cycle type selected is Set Annual Day, the cycle length is automatically selected as one.

6.    In the Cycle Length box, type the length of the preventative maintenance.

7.    In the Previous Due/Begins field, type the start date or the previous due date of the preventative maintenance in the MM/DD/YYYY format, or select the date from the calendar.

Note: For example, if the Cycle Type is selected as year, Cycle Length as 1, and Previous Due/Begins date as 1/1/2014, the next due date of preventative maintenance is 1/1/2015.

8.    When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Add Another Cycle to save the information and add another cycle to the PM type.

o      Cancel to disregard any changes and close the dialog box.

Note:

·       The Next Due column in the table displays the date of the next cycle, count of miles (meter type), or the quantity of fuel required for the next PM cycle to begin.

·       The Due in column displays the remaining days, count of miles (meter type), or quantity of fuel by which the PM cycle is due. If a cycle is not completed within the due, the value of past due is displayed as negative and in red.

 

Editing a Preventative Maintenance

The Edit PM dialog box lets you update or modify the preventative maintenance.

To edit a preventative maintenance

1.    Search and view the asset record.

2.    Click the PM's,SA's tab.

3.    In the Preventative Maintenance section, click the Edit link next to a preventative maintenance you want to edit.

The Edit PM dialog box opens.

4.    In the PM Type list, select a different PM type.

5.    When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Cancel to disregard any changes and close the dialog box.

Deleting a Preventative Maintenance

With the required permission, you can delete a preventative maintenance and the cycles associated with it.

To delete a  preventative maintenance

1.    Search and view the asset record.

2.    Click the PM's,SA's tab.

3.    In the Preventative Maintenance section, click the Edit link next to a preventative maintenance you want to delete.

The Edit PM dialog box opens.

4.    Click Delete.

5.    In the Edit PM dialog box, click one of the following:

o      Yes, Delete PM Type & Any Cycles to confirm deletion.

o      Cancel to close the dialog box.

Editing Preventative Maintenance Cycle

The Edit PM Cycle dialog box lets you edit the details of the cycle type added to the preventative maintenance.

To edit a preventative maintenance cycle

1.    Search and view the asset record.

2.    Click the PM's,SA's tab.

3.    In the Preventative Maintenance section, click the Edit link next to a preventative maintenance cycle.

The Edit PM Cycle dialog box opens.

4.    Make the required changes.

5.    When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Cancel to disregard any changes and close the dialog box.

Deleting Preventative Maintenance Cycle

With required permission, you can delete a preventative maintenance and the cycles associated with it.

To delete a preventative maintenance cycle

1.    Search and view the asset record.

2.    Click the PM's,SA's tab.

3.    In the Preventative Maintenance section, click the Edit link next to a preventative maintenance cycle.

The Edit PM Cycle dialog box opens.

4.    Click Delete.

5.    In the Edit PM Cycle dialog box, click one of the following:

o      Yes, Delete Cycle & PM Type to confirm deletion.

o      Cancel to close the dialog box.
