Creating a Direct Charge

A direct charge is created to record and track the general repairs conducted for assets of a department. You can create a direct charge for a specific asset or a group of assets in a department.

The information contained in a direct charge includes the following:

·       Repairs performed under the department

·       Parts, if any, issued for the repair

·       Additional cost, if any, charged for the repair

·       Add-on information such as Notes and Attachments

Tip

To view the Create Direct Charge Document dialog box, click the Create Direct Charge Document link.

To create a direct charge

1.    Click the Maintenance module.

2.     In the Actions section, click Create Direct Charges.

The Create a Departmental Direct Charge page opens.

3.    In the Department list, select a department, and then click Create a Direct Charge.

The Create Direct Charge Document dialog box opens.

4.    Optionally, in the Asset Organization list, select the asset organization.

5.    Optionally, in the Asset Number box, type the asset number.

6.    Click the Verify link to verify if the asset is present in FASTER Web.

7.    The Maintenance Shop list displays the default maintenance shop assigned to the asset for repair. Optionally, select a different maintenance shop.

8.    The Status list displays the current status of the direct charge. Optionally, select a different status.

9.    The Bill Code list displays the billing type assigned to the asset. Optionally, select a different bill code.

10.  In the Contact list, select the contact person associated with the asset for any asset-related query.

11.  The Date/Time In field displays the current date and time. Optionally, type the date and time in the MM/DD/YYYY HH:MM:SS AM/PM format, or select the date from the calendar and time from the clock.

Note:

While creating direct charge for a maintenance shop, the Approved Above Threshold check box is available only when:

  • The Spending Authorization maintenance settings is set to Yes in the Setup > Application Setup > Maintenance > Settings > Edit Maintenance/TWS Settings section.

  • An Approval Threshold Amount is defined for that maintenance shop in the Setup > Application Setup > Maintenance > Fields > Maintenance Shop picklist field > Add/Edit New Item section. The total cost of direct charge for that maintenance shop must be less than or equal to the specified threshold amount.

To override the total cost of direct charge above the specified threshold amount, the user roles with Can Authorize Spending permission can select the Approved Above Threshold check box and save the direct charge details. For others, an Authorization dialog box opens to login with the user credentials having Can Authorize Spending permission. On successful authorization, the direct charge details are saved. Also, the authorization of direct charge total cost above the specified threshold amount is required only once.

If you are using the AD FS Mode - FASTER and AD FS Authentication mode and cannot approve the spending limit, refer to the Note on the Maintenance/TWS Settings page for more information.

12.  Optionally, in the Symptom box, type the reason for the asset maintenance.

13.  When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Save & New to save the information and add another record.

o      Cancel to disregard any changes and close the dialog box.
