Setting Validations to Import Fuel Files

The Import Layout lets you set validations for the fields to be imported in FASTER Web. These validations enable importing of fuel files only if the entries match the set validations. All the other files are automatically rejected.

Tip

To view the Fuel Import Configuration image for setting validations, click the Fuel Import Configuration link.

Note: While adding an import configuration file, if the Fixed Column is set to Yes, it is mandatory to set validations for each field name. If the Fixed Column is set to No, there is no restriction on the number of characters. A delimiter must be set to differentiate each field.

The following validations should be set for each field name:

·       Starting position: This indicates the position at which the field information begins.

·       Length:  This is the number of characters from the starting position.

For example: For Fuel Type field, if the starting position is set to 6 and the length is set to 4, the character in the sixth position followed by the next four characters indicate the fuel type.

·       Field Format: You can specify fixed values for Meter Type, Fuel Site and Fuel Dispenser when they are imported in the fuel transaction file. These fixed values will always override any other values that are specified for Fuel Site and Fuel Dispenser in the fuel transaction file.

You can also use the Field Format column to specify fixed values for the transaction date that are imported in the fuel transaction file. For example, the transaction dates:

o      07/8/12, 7/08/12, 7/8/12, and 07/08/12 are successfully imported if the field format is set to the mm/dd/yy or dd/mm/yy format.

o      07/8/2012, 7/08/2012, 7/8/2012, and 07/08/2012 are successfully imported if the field format is set to the mm/dd/yyyy or dd/mm/yyyy format.

o      07-8-12, 7-08-12, 7-8-12, and 07-08-12 are successfully imported if the field format is set to mm-dd-yy or dd-mm-yy format.

o      07-8-2012, 7-08-2012, 7-8-2012, and 07-08-2012 are successfully imported if the field format is set to the mm-dd-yyyy or dd-mm-yyyy format.

o      070812 is successfully imported if the field format is mmddyy or ddmmyy. All other transaction date formats are rejected.

o      07082012 is successfully imported if the field format is mmddyyyy or ddmmyyyy. All other transaction date formats are rejected.

·       Fueler ID Type: When adding a new fuel import configuration, you can set the Fueler ID type to one of the following:

o      Employee: You can specify the employee number of a person in the fuel import file. The employee number is validated during fuel import only if the Validate Employee check box in the Edit Fuel Import Preferences dialog box is selected. For successful validation of an employee number, you must specify a valid employee number in the import file.

o      Driver License: You can specify the driver license of the person in the fuel import file. The driver license number is not validated during fuel import.

o      Last Four Digits of Fuel Card: You can specify the last four digits of the fuel card number in the fuel import file. The last four digits of the fuel card number are not validated during fuel import.

o      Other Fueler ID: If you want to provide a fueler ID other than employee, driver license, or last four digits of the fuel card, you can specify any number as fueler ID in the fuel import file. The other fueler ID is not validated during fuel import.

·       Not Required from Export: You can include or exclude the corresponding field while importing files in FASTER Web.

o      Select the check box to exclude the field while importing files.

o      Clear this check box to include the field while importing files.
