The Create an Asset from Acquisition Plan section lets you receive the assets that were planned for acquisition. You can plan for the asset acquisition from the Plan for Acquisition section. To receive asset from an acquisition plan, the acquisition status must not be closed. You can track the assets by the asset acquisition number.
Note: To receive assets from acquisition plan, you must first create an asset template. Refer to Add an Asset Template section to create an asset template in FASTER Web. The template must have the Organization and the Department same as that of the Requesting Organization and the Requesting Department mentioned in the acquisition planning.
Tip
To view the Add Incoming Asset dialog box, click the Add Incoming Asset link.
With required permissions, you can add an incoming acquisition to FASTER Web.
1. Click the Assets module.
2. In the Actions section, click Create Assets.
3. In the Create an Asset from Acquisition Plan section, perform the following:
a. In the Acquisition Number list, select the acquisition number of the incoming asset.
b. In the Asset Templates list, select the template that you want to use to add details of the incoming asset.
c. Click Create Incoming Asset from Template.
The Add Incoming Asset dialog box opens. The acquisition number is displayed by default in the Acquisition Number box.
Note: · Before creating the asset from an acquisition plan, if you have verified the VIN details of the asset with the NHTSA service, and if the VIN details match the asset template details, the Organization, VIN/Serial Number, Year, Make, Model, and Drive Train fields in the Add Incoming Asset dialog box auto-populate the details of the asset. · Before creating the asset from an acquisition plan, if you have verified the VIN details of the asset with the NHTSA service, and if the VIN details does not match the asset template details, the Confirm Asset Detail dialog box opens. You can select the values of Year, Make, Model, and Drive Train either from the template or from the VIN decoded values. The selected values auto-populate in the Add Incoming Asset dialog box. |
4. In the Fields Unique to this Asset section, perform the following:
o In the Asset Number box, type a unique asset number that does not already exist in the particular organization.
o In the License Number box, type the license plate number of the asset.
o In the VIN/Serial Number box, type the vehicle identification number of the asset.
If you have verified the vehicle identification number from the VIN Decoder section, the vehicle identification number auto-populates in the VIN/Serial Number box.
Note: In the Add Incoming Asset dialog box, you can enter the following optional details: · In the Chassis Serial Number box, type the chassis serial number of the asset. · In the Body Serial Number box, type the body serial number of the asset. · In the Financial Reference Number box, type the financial reference number assigned to the asset. · In the Replaced Asset Number box, type the unique number of the asset that is being replaced by the new incoming asset. |
Note: The Meters, PM, SA, Warranty, Basic fields from the Template, Billing Details, and Billing for Items sections display the asset details as defined in the template. You can modify or update the details as required. For more information about the asset fields in the template, refer to Adding a Template section.
5. In the Meter section, perform the following:
o In the Meter Type list, click a meter type that you want.
o In the Digit box, specify the limit upto what you want to have the meter reading.
o In the Actual Reading box, type the current meter reading of the asset.
o In the Acquired Reading box, type the meter reading when the asset was acquired, if it is not provided.
o In the Life Expectancy box, type the total number of meter units the asset is expected to acquire over its life time.
Note: The Acquired Reading box is populated with a default value that is provided when setting up a meter type. You can change this value, if required. The Begin FY Reading box displays the same value as provided in the Acquired Reading box.
6. In the Previous Due/Begins field of the PM section, type the due date or the start date of preventive maintenance in the MM/DD/YYYY format, or select the date from the calendar.
7. Select the due date or the start date in the Previous Due/Begins field of the SA, and the Warranty sections.
8. When finished, click one of the following:
o Save to save the information and close the dialog box.
o Cancel to disregard any changes and close the dialog box.
Note: You must convert the incoming asset record to the current asset for the asset to be available in the Assets module.
The Edit Incoming Asset dialog box lets you modify or update the incoming asset details.
1. Click the Assets module.
2. In the Actions section, click Create Assets.
3. In the Create an Asset from Acquisition Plan section, click the Edit link next to a record you want to edit.
4. In the Edit Incoming Asset dialog box, make the required changes.
5. When finished, click one of the following:
o Save to save the information and close the dialog box.
o Cancel to disregard any changes and close the dialog box.
You can delete an incoming acquisition if you do not want the asset to be available in FASTER Web.
1. Click the Assets module.
2. In the Actions section, click Create Assets.
3. In the Create an Asset from Acquisition Plan section, select the check box next to the records you want to delete.
Note: Click the Select/Unselect All link to manage the available incoming asset records at one time.
4. Click the Delete Selected link.
The record is deleted from FASTER Web.
For the incoming asset acquisitions to be available in the Assets module, you must convert the incoming asset acquisition to current asset.
1. Click the Assets module.
2. In the Actions section, click Create Assets.
3. In the Create an Asset from Acquisition Plan section, select the check box next to the records you want to convert to current assets.
Note: Click the Select/Unselect All link to manage the available incoming asset records at one time.
4. Click the Convert Selected to Current Assets link.
The incoming asset records are converted to current assets.
